ECMOM By-Laws

 

Article I - Name

Section 1- Founded in 1992, the name of this organization shall be the Mothers of Multiples, East Columbus, hereinafter referred to as MOMEC.

Section 2 - MOMEC is a member of the Ohio Federation Mothers of Twins Club, Inc. (OFMOTC, Inc.).

 

Article II - Purpose

Section 1- This club shall be a non-profit organization accepting all prospective members without regard to race, religion or ethnic background.

Section 2- This organization is organized solely for charitable, religious, scientific and educational purposes, including, for such the purposes, the distributions to organizations that qualify as exempt organizations under Section 501(C)(3)  of the Internal Revenue Code.

Section 3- No part of the net earnings of the organization shall insure to the benefit of, to be distributable to its members, trustees, officers, or other private persons, except that the organization shall be authorized to reimburse reasonable expenses incurred in the furtherance of the purposes stated above.

Section 4- The organization may NOT carry on propaganda, or attempt to influence legislation, nor participate in or intervene in any political campaign on behalf of or in opposition to any candidate for public office.

Section 5- This organization may NOT carry on any activity prohibited by a corporation exempt from federal income tax under Section 501(C)(3) of the Internal Revenue Code or that are not in furtherance of the purposes of this organization.

Section 6- Upon dissolution of this organization, any remaining assets shall be distributed to charity voted on by club members.

 

Article III – Mission Statement

MOMEC is dedicated to supporting families with multiple birth children through education and networking. The Club promotes the concept of mutual support for families of multiples. Opportunities for self-help and emotional support are available through meetings and partnerships with local support groups, heath care providers, and educators and with the highest standards of integrity, respect, and professionalism. The Club shall be for social as well as civic purposes. Civic duties shall include charitable donations and service projects.

 

Article IV – Membership

Section 1- Membership in MOMEC shall be open to all mothers, legal guardians, and expectant mothers of multiples.

Section 2- Membership will be documented on a membership form, updated annually.

Section 3- A prospective member may attend two meeting/events as a guest before requesting membership.

Section 4- Paid members are eligible for club benefits and privileges, i.e. meetings and activities of the club; voting privileges in MOMEC (Mothers of Multiples East Columbus) club, OFMOTC (Ohio Federation of Mothers of Twins Club); and to run for or hold officer positions

Section 5- Member benefits and/or privileges may be suspended if club property or funds are not returned upon request by the current officers.

Section 6- Officers retain the right to issue a vote for removal for any member that does not reflect the mission statement and/or poses undue negativity, therefore no longer being a supportive member of MOMEC.

Section 7- MOMEC may waive membership dues for up to two (2) persons annually.  A first time member or current member may request a onetime charity membership by submitting a written request to the President, who will present it to the Executive Committee for approval.  The charity membership(s) will be decided on a yearly basis and will be good for one year.  A charity member retains all privileges of membership including voting privileges and holding an office.

 

ARTICLE V – Dues

Section 1- Annual membership dues are payable between June and September. The dollar amount shall be designated by the Executive Committee and published in the newsletter.

Section 2- For any new member joining April through December, dues will be collected for the entire MOMEC year (June through May). For any new member joining January through March, dues collected will be exactly half of the annual dues.

Section 3- Any member who has paid dues can vote and make a motion to vote.  Voting may be in writing or by show of hands.  A vote shall be passed by the majority of paid members in attendance.

Section 4- A member will be considered inactive and will be removed from all the Membership Directory, newsletter mailings and Yahoo group if dues are not paid by September 1st of each year.

Section 5- In order to sell in the MOMEC Clothing and Equipment Sale, dues and membership form must be received by the Membership Chair by September 1st.

 

Article VI – Elections of Officers and Standing Committees

Section 1- Officers shall be: President, Vice President, Secretary and Treasurer.  They shall constitute the Executive Committee.  These shall be elected positions.

Section 2- To hold office, a member must have current years’ dues paid. Any office can be held at any time with the exception of treasurer. A member must be in the club for a minimum of 1 year in order to hold that particular office.

Section 3- Nominations will be taken in February and March. If two or more members are nominated for a position, an election is held and the Club shall vote by written ballot at the April meeting. A majority vote is required to elect officers and chairmen. In the event of a tie, the President’s ballot will break the tie.

Section 4- No officer shall hold the same office for more than 2 consecutive terms. All officers and chairpersons shall save all information or correspondence and forward it to the next member accepting that position.

Section 5- All newly elected Officers and Chairman shall be installed at the May Installation Dinner, and assume their duties from June through May.  Officers of the club are responsible for keeping records of their assignments and then passing those records on to their successors.

Section 6 - Upon the election of a new treasurer, an audit will be performed. The audit will be conducted by June 1st and will include the incoming/outgoing treasurer and a third party.

Section 7- If, for any reason, an existing officer or chairperson other than the President would resign, the President will appoint a club member, with her permission, for the position.  The fiscal year runs from June through May.

 

Article VII - Duties of the Executive Committee

Section1- The Executive Committee

shall meet once between each regularly scheduled general meeting, or at the President’s discretion, to transact business as needed.

Section 2 – President

Serves as a representative of the Mothers of Multiples East Columbus club.  Signs legal documents & supervises the affairs and activities of the organization.  Presides at meetings at which she is present. She will keep order, remain fair and impartial and protects the rights of all the members.

Section 3- Vice President

  • The Vice-President shall assume the duties of the President in her absence.  She will arrange programs/speakers and introduce them at the meetings.  Takes over the office of President if the office is vacated for any reason.  Notifies the media of monthly meetings as well as upcoming special events.

Section 4-Secretary

The Secretary shall record detailed minutes of all meetings and submit them to the newsletter.  She will maintain attendance records and name tags.  She will send thank you notes and other correspondences.  She will also coordinate snacks and beverages for the meetings.

Section 5- Treasurer

The treasurer is responsible for receiving and dispersing the funds of the organization in a bank depository with the names of the President and Treasurer appearing as co-signers on the signature card.  Itemized bills for the expenses shall be presented to the Treasurer and kept in her records.  She shall keep an accurate record of receipts and expenditures, and shall pay out budgeted funds only as authorized.  Expenditures exceeding budgeted amounts shall not be reimbursed without approval of the general membership. Give monthly balance at each meeting.  The treasurer is also responsible for reimbursing members with costs incurred for club.  Reimbursement procedure is as follows: Member needs to provide a signed receipt with small explanation of what receipt is turned in for. Treasurer will reimburse via check in a timely manner.

 

Article VIII – Duties of Chairman

Section 1- The Historian shall document the Club activities and achievements with pictures, articles, or written accounts to maintain a historical record of the Club.

Section 2- The Newsletter committee, (with support from the entire Club) shall compile articles submitted by Club members and publish the Club newsletter monthly from August through May and one summer edition in late June/Early July.

Section 3- The Membership/ New Mom Support Chairperson is responsible for collecting dues and membership forms. Forwarding dues and forms on to the Treasurer. Contacting and fielding calls and emails with prospective members, communicating membership information to new and prospective members, and maintaining and publishing the Club member directory.  Updated directory to be available by Oct. 1st, and notifying members of any updates as needed.  This position is also responsible for calling new and expectant mothers or current members, to assess their need for assistance with meals, cleaning, laundry, older siblings, errands and general support and organizing the Club members to perform the needed tasks.

Section 4- The Charity committee is responsible for organizing charitable projects, events, finding a local charity to donate items to after the sales and finding local charities to support with gifts and services.

Section 5- The Fundraiser committee (2 members) is responsible for organizing fundraising for the Club.  The funds will be used to supplement the budget, speakers, parties and charitable contributions.

Section 6- The Clothing and Equipment Sale Committee is responsible for organizing the Fall and Spring Clothing and Equipment Sales.  This committee shall consist of 2 or 3 members and they will help with upholding guidelines, set up, and any other sale related issues.

Section 7- The Party committee (2 or 3 members) is responsible for organizing and planning parties for the Club, usually, but not limited to Summer Picnic, Halloween, Christmas, Sweetheart Dinner and Easter/Spring parties.

Section 8- The OFMOTC State Representative is responsible for submitting articles four (4) times a year to the Twinformation, collecting information and passing it on to the club, and attend two board meetings and convention yearly.

 

Article IX – Meetings

Section 1- Regular monthly meetings are held on the second Thursday of each month, (except the months of December, June and July).

Section 2- Meetings will primarily be held at The Church of The Redeemer United Methodist Church 235 McNaughten Rd. Columbus.  Members shall vote on other meeting locations throughout the fiscal year. The newsletter, Club website and yahoo calendar will list an updated schedule of meeting activities or speakers as well as meeting locations.

 

Section 3 - State Board Meeting and Convention Meeting Funds

Budgeted funds will be divided equally among all MoMEC members who choose to attend OFMoTC functions.  If board meetings or conventions are taking place in the Columbus area, the club will not cover hotel expenses.

 

Article X – Amendments

Any amendments to the By-Laws of the Mothers of Multiples East Columbus club may be proposed in writing to any member of the Executive Committee at any time for discussion at a meeting. Proposals will appear in the next newsletter. Discussion and voting will then be at the next regularly scheduled meeting.
